The Master Data Specialist in Facilities Operations and Maintenance (FOM) Reliability group is responsible to provide technical solution and perform master data related tasks for Facilities Maintenance.

*Please note this is a site-based role**

Essential Duties:
  • Primary responsibility for the daily operation of the maintenance master data system, including to manage the maintenance master data for equipment and spare parts in the computerized maintenance management system (CMMS), currently SAP (ERP 6.0).
  • Is responsible for ensuring data records are current and accurate in a GxP environment by ensuring all service activities and documentation is complaint with good documentation practices (GDP), quality compliance requirements, and applicable standard operating procedures.
  • Responsible for track and maintain maintenance records for audit compliance in accordance with internal quality and GMP standards and external regulatory requirements.
  • Follow up with technicians to ensure all due dates and documentation best practices are being followed.
  • Directly and indirectly responsible for all the daily maintenance master data submissions.
  • Help to update maintenance/facilities reports daily, weekly, monthly for best KPI reporting, as required.
  • Identify and implement process improvement opportunities related to maintenance data or activities.
  • Support maintenance programs for periodic spare part audits, spare part obsolescence, and spare part criticalities.
  • Participate in capital projects such as commissioning, decommissioning, and system upgrades.
  • Support the required periodic internal and external audits by regulatory agencies.
  • Support cGMP documentation for about 10% of master data related activities.
  • Collaborate across the site with individuals in Operations, Site Services, and Quality
  • Responsible for alerting management of any unsafety condition or behavior, and promote safety culture in all maintenance activities including subcontractors, suppliers and visitors.
  • Support EHS team to fully comply with all EHS programs requirements.
  • Comply with all GMP and Non-GMP requirements of the client contract and meet or exceed key compliance requirements.
  • Ensure compliance of all regulatory laws and guidelines are met in accordance to their SOP's as they relate to the work being scheduled by maintaining JLLs practices across all maintenance activities to meet client and authority having jurisdiction (AHJ) compliance requirements.
  • Follow all Company mandated change-control procedures as they relate to GxP and EH&S requirements.
  • Ensure client satisfaction with delivery of facility management services and provide support in monitoring and increasing customer satisfaction.
  • Admin support tasks for facilities department as needed.


Qualifications:
  • College degree or equivalent experience preferred with a minimum of 2-5 years in facilities management, business operations or equivalent work experience.
  • Have a minimum one (1) years' experience in all areas of computerized management system master data management or equivalent experience in other master data management system. SAP version ERP, MAXIMO or Hanna knowledge is a plus.
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
  • Experience in Pharma, Biotech or similar life science sector that are governed in GMP regulations, systems and processes is preferred.
  • Good understanding and ability to comply with cGMP requirements for performing work within the manufacturing facility.
  • Exceptional organization, time management, and attention to detail. Ability to work independently and in a team environment. Analytical, interpretive and problem-solving skills are also needed.
  • Impeccable degree of trust and integrity as all records are confidential.
  • Vision abilities include close vision and able to adjust focus in use of computer monitor and other manual, task-related functions (i.e. reading hard-copy documents).
  • Willing to work in a dynamic, fast-paced environment, and be capable of handling multiple tasks while meeting timelines
  • Excellent verbal and written communication skills
  • Advanced computer and office software skills, as plus.
